Notice is hereby given that if you are an elected Councilor for Welby Parish Council on 1st May you are summoned to attend the Annual Meeting of Welby Parish Council to be held on Monday 10th May 2021 at 6:30pm via a webinar – a link to the software for connection will be supplied separately to this message.  
 
During the meeting due to the on-going Covid-19 restrictions there will unfortunately not be a provision to have the usual 10 minute public forum when members of the public may address or put questions to the Parish Council on any matter connected with the agenda. Therefore, as this AGM will be publicly notified to the Welby Villagers should there be any questions, or topics to be considered for inclusion on a future agenda, the public are welcome to send these to the Clerk at the latest by Friday 7th May 2021.

Agenda

1.  Election of Chairman and Vice Chairman for Welby Parish Council.
Councilors to vote on the position for both Chairman and Vice Chairman
 
2. Confirmation of eligibility and quorum 
  • To confirm eligibility of councilors and quorum present to make a legal meeting.
3.   Declaration of interest
To receive declarations of the existence and nature of any private interest, both      disclosable and financial and any other registrable interests, in any matter to be considered or being considered.
 
4.  Public Representations (due to Covid-19 only questions submitted in advance)
To receive items and comments from members of the public.
 
6. Minutes (attached)
To authorise the Chairman to sign the minutes of the meeting held on 20th May 2020 as a true and accurate record.
 
7. Asset Register (attached) 
  • To review and approve Welby Parish Council’s Asset Register; and
  • Nominate Councilor to carry out Health & Safety Inspection of Assets with The Clerk. 
8.  Approval of regulations (attached) 
To approve and adopt the following regulations for Welby Parish Council
  • Standing Orders,
  • Financial Regulations and Procedures for Welby Parish Council; and
  • Risk Assessment.
9. Review Policies and Procedures (attached) 
To review and approve the following policies, procedures and practices for Welby Parish Council in respect to:
  • Freedom of Information Act;
  • Data Protection Legislation;
  • Dealing with press/media; and
  • Complaints policy.
10.  Insurance (attached) 
To review Welby Parish Council Insurance Policy and renewal offer.
 
11. Dates of ordinary meetings.
To fix the dates and times of ordinary meetings of Welby parish Council

To consider any urgent business
 
*Please note if it is “urgent” only because it was not notified in time to appear on the agenda, it should be left till the next meeting. If it is genuinely “urgent”, that is it was too late for the agenda and it will be too late for action if left till the next ordinary meeting The Chairman and The Clerk need to decide whether an additional meeting should be called or actioned during this meeting.
